Terms of Use – Kaivro

Introduction

Kaivro lets a household record its expenses in one shared ledger and see where the money goes. It is a record-keeping tool. It is not an accounting, tax, legal or financial advisory service, and nothing in the app is advice on how to spend, save, invest or declare anything.

You are responsible for the accuracy of what you record and for the decisions you make based on it.

Eligibility and Accounts

• You must be at least 16 years old to create an account.
• You must provide accurate account information and keep your sign-in credentials secure. You are responsible for everything done through your account.
• One person, one account. Do not share your account with others; invite them to your house instead.
• Tell us promptly at hello@doitdev.eu if you believe your account has been compromised.

Houses, Members and Roles

A "house" is a shared ledger. The person who creates it is its first admin. Admins can invite, promote, demote and remove members, manage house settings, and edit any common expense. Members can add expenses and see the household reports.

• Invite only people you know and trust. Everyone you invite will see all common expenses in the house, including receipt images and who paid. Invitation codes and links must not be posted publicly.
• Admins are responsible for who is in their house and for removing people who should no longer have access.
• Common and personal expenses. An expense marked common is visible to every member. An expense marked personal is visible only to the member who created it and is excluded from household reports. Choose the visibility carefully; changing it later changes who can see it.
• Leaving a house. When you leave or are removed, the common expenses you created stay in the house with your name replaced by "Former member". Your personal expenses in that house are deleted. The last admin must hand over the admin role before leaving.
• Data added by other members belongs to your household as a whole. Do not use another member's data outside the purpose of managing your shared expenses.

Receipt Scanning and Voice Entry

Kaivro can read a receipt photo or a dictated sentence and turn it into an expense using an AI service. These features require your consent in the app and are subject to usage limits that depend on your plan.

• AI results can be wrong or incomplete. You must review every amount, product and category before saving. Kaivro is not liable for expenses saved with errors.
• Only scan receipts and dictate expenses that you are entitled to record in the house.
• Do not use the AI features to process documents other than receipts and expense information.

Free Plan and Pro Subscription

Kaivro offers a free plan with limits (for example on the number of members and monthly receipt scans) and a Pro subscription that removes or raises those limits. The current limits and prices are shown in the app before you subscribe.

• Per household. A Pro subscription covers one house and all its members. It is bought by one member, the "billing owner", through their Apple or Google account.
• Billing and renewal are handled by Apple or Google under their terms. Subscriptions renew automatically until cancelled in your App Store or Google Play subscription settings. Cancelling stops the next renewal; the house keeps Pro until the end of the period already paid.
• Refunds are handled by Apple or Google according to their policies. Kaivro cannot issue refunds for store purchases.
• Changing the billing owner. The billing owner can hand the role to another member. The existing subscription stays with the house until its paid period ends; the new billing owner then subscribes or the house returns to the free plan. No data is deleted when a house returns to the free plan.
• Introductory offers may be available to new subscribers only, as shown in the store listing.
• We may change plan limits and prices for future periods. Changes to a running subscription follow Apple's or Google's rules on price changes.

Acceptable Use

You agree not to:

• Use the Service for anything unlawful, including recording expenses you know to be false in order to deceive other members or third parties.
• Upload content that infringes someone else's rights or that is not yours to share with your house.
• Attempt to access another house, another member's personal expenses, or any part of the Service you are not authorised to access.
• Interfere with the Service, circumvent usage limits, reverse engineer the app, or use automated tools to scrape or overload it.
• Resell the Service or use it to provide bookkeeping to third parties without our written agreement.

Your Content

You keep ownership of the expenses, receipt images and other content you add. You grant us a licence to store, process and display that content only as needed to provide the Service to you and to the members of your house, including sending receipt images and voice text to our AI provider when you use those features.

You can export your data or delete your account at any time (see the Account Deletion page).

Intellectual Property

The Kaivro app, name, logo and all software and design are owned by DOITDEV SRL or its licensors. These Terms do not give you any right to use them except to run the app on your device as intended.

Disclaimers

The Service is provided "as is" and "as available". Totals, categories and reports are computed from what you and your house members enter and from AI reading of receipts; they can contain mistakes. Kaivro is not a substitute for bank statements, invoices or accounting records, and must not be used as the sole basis for tax declarations, settlements between people, or any financial decision.

We do not guarantee that the Service will be uninterrupted or error-free. Offline changes are synced when your device reconnects; conflicts may be resolved automatically.

Limitation of Liability

To the extent permitted by law, DOITDEV SRL is not liable for indirect, incidental or consequential damages, or for losses arising from inaccurate entries, AI parsing errors, disputes between house members, or the actions of people you invited to your house. Our total liability for any claim related to the Service is limited to the amount you paid for the Service in the 12 months before the claim. Nothing in these Terms limits liability that cannot be limited under applicable law, including consumer rights under Romanian and EU law.

Termination

You can stop using the Service and delete your account at any time. We may suspend or terminate your account if you breach these Terms, if required by law, or if we discontinue the Service; in the last case we will give reasonable notice so you can export your data. Sections that by their nature should survive (your content licence for data left in a house, disclaimers, limitation of liability, governing law) survive termination.

Changes to These Terms

We may update these Terms when the Service changes. The date at the top shows the latest version. For material changes we will notify you in the app or by email before they take effect. Continued use after that date means you accept the updated Terms.

Governing Law

These Terms are governed by the laws of Romania. Disputes are subject to the competent courts in Romania, without prejudice to mandatory consumer protection rules in your country of residence.
